Privacy Policy

Last updated: May 25, 2026

Summary

  • The bot transcribes and translates live voice in a Discord voice channel and posts text captions.
  • Audio is never stored. It is processed in memory only long enough to transcribe and translate it, then discarded.
  • No voiceprints, no biometric identification. We do not build voice fingerprints or match speakers across sessions.
  • Billing is handled by Discord. We never see or store your payment card details.
  • Questions or deletion requests: baniabradyy@gmail.com.

1. Who we are

Discord Translate (the "Service") is operated by an independent developer (the "Operator", "we", "us"), a Xaeryx project based in Alabama, United States. For privacy purposes, the Operator is the data controller for the limited data described below. Contact: baniabradyy@gmail.com.

2. What we process

  • Speech → transcript → translation. When the Service is active in a voice channel, the audio of people speaking is captured live, converted to text, and translated. This is processed transiently — the audio is not written to disk and is not retained after the caption is produced.
  • Discord identifiers. Server (guild) IDs, channel IDs, user IDs, and display names — used to attribute captions to the right speaker, set each speaker's language from their Discord role, and enforce free-trial, credit, and Pro limits per server.
  • Purchases & balances. Whether a server holds an active Pro subscription or has bought credit packs, as reported to the bot by Discord, plus the server's remaining credit balance and how many free-trial minutes it has used. We do not receive card numbers or billing addresses — Discord handles all payment data.
  • Operational logs. Minimal, short-lived technical logs (e.g. errors, connection events) used to keep the bot running. These are not used to profile users.

The captions themselves are Discord messages posted into your server's text channel; once posted they are controlled by your server and by Discord, under Discord's own policies.

3. What we do NOT do

  • We do not store recordings or audio files.
  • We do not create voiceprints or perform speaker biometric identification or cross-session voice matching.
  • We do not access video or camera frames — the Service uses audio only.
  • We do not sell personal data, and we do not use your speech to train our own models.

4. Why we process it (purpose & legal basis)

We process speech to provide the live transcription and translation you requested. The legal basis for processing a speaker's voice is consent — gathered through the prominent in-channel notice the bot posts before it begins, combined with the member's voluntary choice to speak in the channel (members who do not consent should leave the channel). For operating the bot, managing servers, and enforcing usage limits, the basis is our legitimate interest in running and securing the Service, and, where applicable, performance of a contract.

5. Sub-processors

To deliver the Service we share the minimum necessary data with the following providers. Some are based in the United States, so using the Service may involve an international transfer of data.

ProviderPurposeData shared
OpenAISpeech-to-text and translationAudio of live speech (transient); transcript text
DeepLOptional second translation (cross-check)Transcript text
DiscordPlatform the bot runs on; handles all subscription billingDiscord IDs, interactions, payment data (held by Discord, not us)
RailwayHosting / runtime for the botOperational logs and runtime data

We use these providers under their standard terms and data-processing agreements. We do not control, and are not responsible for, the independent privacy practices of Discord or these providers; please review their policies.

6. Retention

Audio is never retained. Transcript and translation text exists only long enough to produce the caption and is not stored by the Operator after that, except as it appears in the Discord message we post into your channel (which your server controls). To run the free trial and credit system, we keep a small per-server record — free-trial minutes used, credit balance, and a short transaction history — stored by guild ID for as long as the bot serves that server. Operational logs are kept briefly for reliability and then rotated out.

7. Your rights

Depending on where you live (e.g. under the EU/UK GDPR), you may have the right to access, correct, delete, restrict, or object to the processing of your personal data, to data portability, and to withdraw consent at any time (which you can do simply by leaving the voice channel or having the bot removed). You may also lodge a complaint with your local data-protection authority. Because we don't store audio and hold very little personal data, most requests are simple to honor.

To exercise any right, email baniabradyy@gmail.com. We aim to respond within 30 days. Note that captions already posted in your Discord server are managed in Discord — your server admins or Discord can delete those messages.

8. Children

The Service is not directed to children under 13, and you must meet Discord's minimum age to use it. Making a purchase (a Pro subscription or credit packs) requires you to be 18 or older.

9. Security

We take reasonable measures to protect the limited data we handle, including not persisting audio and relying on reputable providers. No method of transmission or processing is perfectly secure, and we cannot guarantee absolute security.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the "Last updated" date above, and material changes take effect when posted here.
